Reservations - Overview
Reservations are created when a guest completes the booking process or when the Administrator (or the Hotel Manager) adds a reservation manually. You can view the reservations by going to Hotelier > Reservations.
Reservation Status
Each reservation has a status. And the type of the status depends on how far along the reservation is.
A reservation can have the following statuses:
- Pending
- On-Hold
- Confirmed
- Completed
- Cancelled
- Failed
- Refunded
Reservations are changed to On-Hold or Failed only when there's a problem during the payment of the reservation. So a reservation can have one of those statuses only when the booking requires a payment.
Pending
Every reservation starts with this status. The stock of the room is reduced but the reservation is not confirmed yet.
Confirmed
The reservation is confirmed.
Completed
Reservation completed. The guest has left the hotel and the room is now available again.
Cancelled
The reservation has been cancelled. The room is now available again and the reservation can't be restored.
On-Hold
Problems on the payment response. You need to check the reservation and confirm the payment.
Failed
Payment failed or was declined (unpaid).
Refunded
Payment refunded. The room is now available again and the reservation can't be restored.
As described above, the type of the status depends on how far along the reservation is. There are six possible scenarios:
- The booking mode is set to Manual booking and the reservation doesn't require a deposit. In this case the Administrator can confirm the booking manually changing the status to Confirmed. Or he can refuse the reservation changing the status to Cancelled.
- The booking mode is set to Manual booking and the reservation requires a deposit. In this case the Administrator can send an invoice to the guest and the reservation status is automatically changed to Confirmed after the payment.
- The booking mode is set to Instant booking. In this case the reservation status is automatically changed to Confirmed either after the payment or if the booking doesn't require a deposit.
- The booking requires a deposit and the payment fails. In this case the reservation status is changed to Failed.
- The booking requires a deposit and there were issues in the payment response (amounts do not match, currencies do not match, etc). In this case the reservation status is changed to On-Hold for manual checking.
- The booking requires a deposit and the guest cancels the booking during the payment. In this case the reservation status is changed to Cancelled.
